Travel

This section is for whoever books the season: flights, hotel blocks, who shares a room, who drives, and how the truck gets there. It is the part of the job with the most moving parts and the most phone calls.

It is written for coordinators and travel coordinators, and for directors who want to know what their coordinator is looking at.

In this section

  • Flights — adding flights by pasting the confirmation email, letting Herding Cats suggest fares, and keeping track of airline credits.
  • Hotels and rooming — room blocks, pairing people into rooms, sending the list to the hotel, and recording the confirmation numbers.

  • Ground and freight — rental cars, rides, the equipment truck, and what your drivers see.

Two places travel lives

Inside one event. Open an event and press the Travel tab, or the Rooming tab. That is where you actually book things.

Across the whole season. Choose Travel in the left menu. That page is Cross-event booking status and at-risk items — every flight still to book, everything at risk, and every live disruption, without opening events one at a time. It is the page to check on a Monday morning.

One rule worth knowing up front

Costs — flight prices, what you paid the hotel — are visible to admins and coordinators only. Your staff never see them.

And the other way round: your staff cannot see their own flight details in their portal today. Keep sending them their itinerary the way you do now.
