Staff profiles: experience and feedback
Open Staff in the left menu and click a name. Above the familiar cards (personal info, positions, travel) a profile now answers the questions you ask when you’re choosing someone for a weekend: how good are they at this position, are they still learning it, how often have they done it, and what did people say afterwards.
Experience levels, training, the track record and debrief feedback appear only to your company’s admins and coordinators. Staff never see them, not on their own profile, not in their portal and not in the app.
The one thing a staffer does see is the Trainee label on an event they’re assigned to as a trainee, as they always have. Marking someone as training in a position makes their next assignment in that position start as Trainee (see below).
Their photo
The person’s photo sits next to their name. If there’s no photo you see their initials.
To add or replace a photo for someone, click their photo (or initials) and use Add photo or Change photo. Use a clear photo of their face so crews can recognize them at the venue. The change is saved straight away, appears in the profile’s History, and shows up in their own app too.
Experience by position
Every position the person holds gets a row. You’ll also see positions they’re training in and positions they’ve worked in the past but no longer hold.
For each position you can set how experienced they are. It’s optional. If you don’t set anything, the row says Not rated, which means nothing either way.
| Level | What it means |
|---|---|
| New to this position | Has done it a few times, or not yet. |
| Developing | Does it with some support. |
| Experienced | Handles it well on their own. |
| Can lead this position | Could run it, or teach it to others. |
Training in a position
Mark a position someone is learning, whether or not it’s already one of their positions.
- To mark a position they don’t hold yet, press Training in a position at the top of the card and pick the position.
- To mark a position they already hold, press Edit on that position and turn on Training in this position.
Either way you can add a note, such as who they’re learning from. The card shows Training: Stage Manager at the top.
When you put someone on an event in a position they’re training in, the assignment starts out marked Trainee. You can still untick it on the assignment. This happens when you assign by hand, drag from the staff pool, accept an AI suggestion, or apply a season or weekend plan.
What they’ve worked
The card counts the events they actually worked:
- events that have finished,
- where they were on the roster (not taken off or released),
- and that weren’t cancelled.
At the top you’ll see the total, how many were this season and how many in earlier seasons, and how many seasons they’ve worked. Each position row shows the events worked in that position, how many of those they worked as a trainee, their first and most recent event in the position, and how many seasons. Click any count to see the events behind it, and click an event to open it.
Feedback from debriefs
Debriefs usually ask about positions, not people: How did the stage run? rather than How did Sam do? Herding Cats links that feedback to whoever worked the position at that event.
To make this work, mark which debrief questions are about a position:
- Open the template
Go to Surveys → Templates and open your debrief template.
- Pick the position
Under each question there’s This question is about. Pick the position. If a question or its section names a position, you’ll see a suggestion such as Looks like it’s about Stage Manager. Click it to accept.
- Save the template
Past debriefs that used this template count too, so you don’t have to resend anything.
Questions marked with Also share answers with staff in this position count as well. The difference is that those answers are also shared with the staff in that position, while This question is about keeps them with admins and coordinators.
The profile groups the feedback so you can tell what’s personal from what isn’t:
| Group | What it is |
|---|---|
| On their work | They were the only person in that position at the event, so the answers are about their work. The line at the top averages ratings from these events only. |
| On a position they shared | Several people worked the position, for example three judges. The answers are about the position at that event, not about them alone, so they’re never included in their average. |
| Their own reflection | What they wrote about their own position. |
| Noted from debriefs | Notes picked out of debrief answers that named them, and whether each one was added to their Staffing notes or is still waiting for review. |
The profile never shows who wrote an answer. Open debrief takes you to the full debrief. If they worked the position as a trainee at that event, the row says so.
What this doesn’t change
Experience levels, training and feedback are there for you to read. They don’t change who AI staffing or the season planner suggests, or the order suggestions appear in. When you choose people, you’ll see the level and Training next to their name in the staff pool, the + Assign list, AI suggestions, the season and weekend plans, See all candidates, and the call list when someone drops out.
